Exchange Calendaring Service Migration

Meeting Maker Calendar users at the University are currently migrating to Microsoft Exchange for online calendaring services. Meeting Maker will retire July 1, 2009. The Exchange calendar functions by sending and receiving emails to schedule appointments, so users are strongly urged to switch from their current email program to Exchange mail as you transition to the new calendar.

Why Exchange?

Exchange is the market leader for calendaring. A number of divisions across campus have already adopted it—VCFA, UDEV, VCSA, UITS, among others. By shifting support from Meeting Maker to Exchange, we are accelerating the consolidation that’s already taking place and enabling easier collaboration across campus. Also, Exchange's tight integration with email, sophisticated Web interface, integration with Sharepoint Team Services, and support for mobile devices like Palm, Windows Mobile, and iPhones makes it more efficient than single-function products like Meeting Maker.

Who can use Exchange?

Faculty and staff can use Exchange, but if a student works for a department and needs to schedule meetings, reserve resources such as conference rooms, or plan events in the capacity of either an employee or volunteer, the department can request a UARK service account.

Is there a charge to have an Exchange account?

To use Exchange Messaging Services, a department must be a participant in the Microsoft Campus Agreement or a user must individually purchase the required Microsoft license(s).

If a department is not a member of the Microsoft Campus Agreement, users will need to obtain a license for Outlook 2007 (part of the Office 2007 system) or Entourage 2008 (part of the Mac Office 2008 suite) Additionally, if a user/department is not a member of the Campus Agreement, users will need Client Access Licenses (CALs) for the Exchange account itself. Both the Standard CAL and Enterprise CAL add-on are required and will need to be renewed on a yearly basis, but at a reduced cost. Software licensing can be obtained from http://www.shi.com/
The current CAL part numbers from SHI with approximate prices are Exchange Standard CAL Lic/SA Pack User CAL (license includes software assurance) Part # 394-00520 are $4.00 ea. Exchange Enterprise CAL w Svc Lic/SA Pack User CAL (license includes software assurance)Part # 9MB-00892 are $12.00 ea.

What client software is required to use Exchange?

The recommended clients for Exchange are: Outlook 2007, Entourage 2008, Windows Mobile 5 & 6, Palm OS, and commonly supported web browsers (i.e., Internet Explorer, Firefox, and Safari). Limited access is available on the iPhone with full access expected by August.
