UA Email Account Maintenance
Note: The content and maintenance of a user's electronic mailbox is the user's responsibility.
*WARNING* Your UA email account is allocated 50MB of disk space for email storage. When 100% of this space is used, you cannot receive any new email. If this happens, you must delete mail to free up disk space. Mail sent to your account when it was full will not be available to you; it will have bounced back to the sender.
If you exceed your email quota, you will have a "grace" period of 72 hours; after 72 hours, you will not be able to receive email.
Currently, the campus email server is set to warn users when they reach 85% of quota. There will be an automatic warning sent to the user at this time; however, this warning will only reach those with an IMAP connection. Check your software settings to see if you are using IMAP or POP. Note: XpressMail, UA Mail, and Pine have no option for POP services.
Check your email quota by logging into your UA Mail account. You can view your usage in the My Account screen if you have kept the My Mail: Folder Summary pane (part of the default layout), or you can click My Mail, and your quota will show near the top of the screen below the button bar.
The following suggestions can help you better manage your email account.
- Be aware that if you use UA Mail or XpressMail, your mail is kept on the server. When you save a message, a copy is saved on the server. A copy of sent mail is also saved on the server. (Mail saved and sent mail copies in Pine will be saved to your comp.uark.edu account.) If you use a mail program that always leaves your mail on the server:
- Clean your Inbox and other folders often. Delete messages or move them to your local drive.
- Clean out your sent mail folder regularly. Delete messages or move them to your local drive.
- Delete attachments or move them to your local drive.
Note: Make sure you delete mail from the server that has been moved to your local drive.
- If you use a Trash mailbox on the server, be aware that those deleted messages are still in the system, taking up your disk space. You will need to periodically clean out the Trash folder, or you will eventually go over your quota from these deleted messages. In UA Mail, click the Empty Trash button or set your account to empty the trash periodically by clicking the Options button and then Login Tasks. Check the box to Purge old messages in the Trash folder and select how often from the dropdown menu and how old the messages should be.
- If you are over (or near) quota, and cannot determine where the bulk of your mail is located, visit each folder in UA Mail to view the size and number of messages in each folder.
- Access additional email storage space on comp.uark.edu. See the setup instructions for your email program on the email software chart.
- If you download email from the server to your local drive (or save email to comp.uark.edu), make sure you delete the mail from the server after it is downloaded (or saved to comp).
- If you are forwarding your UARK (mail.uark.edu) mail to another account, don't save copies of your mail on the mail.uark.edu server. When setting up forwarding, uncheck the box to keep a copy on the server.
- If you are subscribed to a LISTSERV mailing list and will not be checking your email for awhile, send email to listserv@listserv.uark.edu with the command:
set listname nomail
To restart your mail, send the following command:
set listname mail
(where "listname" is the actual name of the mailing list.)
