XpressMail

Find XpressMail at https://mail.uark.edu/

While XpressMail will remain available as a web-based UARK email interface, the software will no longer be updated nor supported by the vendor.

Logging in to XpressMail

To log in, you need a UARK Account username and password. If you have not yet picked up your UARK username and password for your account, you can do so by visiting the Account ID Distribution Facility.

  1. Open a Web browser and go to the URL:
    mail.uark.edu
  2. In the Username and Password fields, type your UARK username and password.
    Note: If you forget your password, you can reset it online at PASSweb.
  3. Click the Login button (or press Enter on your keyboard). You are now ready to read your email on the Web.

Note: There is a 15MB limit on the size of attachments that can be sent from or to anyone using the mail.uark.edu server; however, there is a 5MB limit on the size of attachments sent through XpressMail. If you need to send a file larger than 5MB, you can use a different email client. If you need to send a file larger than 15MB, try another option such as file transfer to your comp account.

Click help in the upper right corner of the screen for information on managing and composing messages, managing folders, the address book, managing your account, and setting up vacation messages, filters, and forwarding. Some help, such as help in setting up filters, must be accessed by clicking help from the filters screen.

To see your newest mail listed first, click Options, Appearance, and Message List View. Change from Oldest First to Oldest Last.

Note: Using a pop-up blocker will prevent the use of Compose or Reply in XpressMail. You will need to disable the pop-up blocker for the site or use a different email client.

Address Book

Creating a Group

Click the Addresses button and then click New Group. The addresses must already be in your address book to add them to a group. You might need to first click New Contact and add the address(es). Select the addresses on the left to include in the group and click the Add button. Click OK when done.

Internet Explorer will no longer (after SP2 upgrade) allow creation of groups in the XpressMail address book. You must use Mozilla Firefox or Netscape to create groups. Once the group is created, however, it will be available in all browsers including Internet Explorer.

Exporting the Address Book

To export your XpressMail address book, log into XpressMail and from the Inbox click Addresses . This will bring up your list of contacts. On the right next to the Search option is an Export option. Selecting Export will allow you to download a copy of your addresses.

If nothing happens when you try to export your addresses there could be an error in one or more of your address book entries. Make sure the addresses do not have quotes around the names; this breaks the export feature.

Expanding Full Headers

If you have received abusive email and would like to report it, forward the email to abuse@uark.edu with the headers fully expanded.

  1. When viewing the message, click on the small arrow on the far right of the From line. This will expand the header; the header information must then be copied and pasted into the message when forwarding.
  2. Highlight the header information, press Ctrl/C on your keyboard to copy.
  3. Use Ctrl/V to paste into the message you wish to forward.

Email Forwarding, Vacation Message, and Checking Quota

Log into your UARK email account using XpressMail to set your email to be forwarded to another email account, or to set a vacation message that replies to people who send you mail while you are away. You may also log into your account using XpressMail to check your 50MB email quota to see how much space you are using on the account.

Collecting External Mail

The Collect External Mail feature in XpressMail allows you to check your email from another (POP) mail server. In order to use this feature you must have a POP mail account. Not all external mail services offer POP. Please check with your account provider to confirm POP availability.

To Collect External Mail using XpressMail:

  1. Log in to XpressMail.
  2. Click the Inbox tab.
  3. On the lower right of the Inbox window click the Collect External Mail button.
    The POP Collection window opens.
  4. Enter the POP server name. Your POP email provider will need to supply this information.
  5. Enter your POP mail user ID and password.
  6. If you would like to Delete messages from the server, effective after you collect mail, place a check mark in the box.
  7. The collected mail will now be in your Inbox in XpressMail.

Deleting Mail

Your UARK email account is allocated 50Mb of disk space for email storage. When this space is at 100% capacity, you cannot access your account to send or receive email. You must delete mail to free up disk space. Once your account is under quota, full email functions will return. However, previous mail sent to your account when it was over quota will not be available.

If you delete messages using XpressMail, you have two options. Depending on the Delete Options you set, you can delete messages temporarily or permanently.

If your Delete option is set to Move Deleted Messages to the Trash , when you click Delete, the deleted message is moved from the current folder to the Trash folder. Be aware that those deleted messages are still in the system, taking up your disk space. If you choose this option, you will need to periodically clean out the Trash folder or you will eventually go over your quota from these deleted messages. If your Delete option is set to Mark Messages Deleted , when you click Delete, XpressMail marks each selected message for deletion. When you click Expunge, messages are permanently removed without saving a backup copy of the message. To select which option you want to use, click the Options button and then Settings.

Also, remember that a copy of all email that you send from XpressMail is kept in the Sent folder indefinitely. You might need to clean out this folder periodically. If you are over (or near) quota and cannot determine where the bulk of your email is located, click the Folders button in XpressMail to view the size and number of messages in each folder.

Sharing and Subscribing to Folders

XpressMail folders can be shared with other users. Sharing folders is a two step process that involves sharing and subscribing. A user shares a folder, granting a UARK username permissions to the folder, and the user given permissions to that folder then subscribes to it.

Sharing Folders

To share folders:

  1. Log in to https://mail.uark.edu/ using your UARK username and password.
  2. Click the Folders tab.
  3. Select the folder to share by clicking the radio button to the left of the folder.
  4. Click the Share button.
    Note: Observe the display of "anyone" in the User ID column. "Anyone" includes all users who by default have "None" of the permissions assigned to their UARK username. Permissions from the dropdown list can be assigned to "anyone". The "anyone" entry cannot be removed from the User ID column.
  5. Select the Enable direct delivery of email to folder: check box to deliver email messages directly to the shared folder. Enter the UARK username of the person with whom the folder will be shared, or click the Search button to perform a directory search.
  6. Click Add if the UARK username was entered, or, if a directory search was performed, place a check mark in the box next to the UARK username to select, and click OK.
  7. From the Permissions dropdown list, choose from the following permissions:
    Read only: Allows users to only view the messages in the shared folder.
    Read and write: Allows users to read, edit the messages in the shared folder, and delete subfolders.
    Read, write and manage access: Allows users to read and edit the messages in the shared folder, create subfolders, delete subfolders, and share the folders with others.
  8. Click OK.

    Note: When the Subfolder is created, it inherits the permissions of the parent folder to which it belongs. Thereafter each folder is independent of the structural hierarchy, and if the access permission of the Parent or Child folder is changed, it does not affect the access permissions previously assigned to the Parent or Child folder.

Subscribing to Shared Folders

To subscribe to shared folders:

  1. Log in to https://mail.uark.edu/ using your UARK username and password.
  2. Click the Folders tab.
  3. Click the Subscribe button to search for folders to which a user has provided you access.
  4. In the Subscribe to Shared Folders dialog box which appears, specify the search conditions by selecting a criterion from each of the dropdown lists, then enter a word or phrase in the blank text field, and click Search to view a list of folders to which you have access.
    By default, the University of Arkansas Directory is searched for users satisfying the search criteria. To enter the search criteria do the following:
    1. From the Full Name dropdown list, select the element you want to search. For example: Full name, First name, Last Name, Email, User ID, or Phone #.
    2. From the contains dropdown list, select the type of search you want to perform. For example, select whether you want to search for something that contains, is, begins with, sounds like, or ends with.
    3. In the text field, enter the keyword or keywords for which you want to search.
  5. Click the Search button. XpressMail lists all the User IDs, user names, and email addresses that match the search criteria.
  6. Select a UARK username to subscribe to that user's shared folder, and click OK.
  7. A list of folders along with the names of the Owners of the folder will be displayed. Place a check mark in the box next to the folder(s) you want to subscribe to, and click Subscribe. Click Cancel to close the dialog box without subscribing to the selected shared folder(s).
  8. In Folders, Shared Folders displays the owner's name on one line and lists the owner's shared folders to which you are subscribed on the next line. Click on the folder name to view the files saved in each folder.
    The mouseover tool tip on the folder icon for each shared folder displays the access permissions granted to you.

Displaying the Text Formatting Bar in XpressMail

Currently XpressMail requires Internet Explorer to use text formatting.  When using Internet Explorer, from the Compose, Reply, or Forward window, select the "Text/Html" icon.
