OS X Mail

Entering Your Account Information in OS X Mail

You might have been asked for email information (mail server, user ID, etc.) upon first running OS X after it was installed. This information is supplied to the Mail application and, if it was correct, OS X Mail will work properly when run for the first time. If this part of the initial setup was skipped or alterations to the initial configuration are needed, the following steps illustrate how to set up the program.

  1. Open Mail.
  2. From the menu bar, select Mail, Preferences.
  3. Click the Accounts icon.
  4. Click + (Add).
  5. Account Type: Select IMAP.
  6. Enter a name for the account in the Account Description field.
  7. Enter your Full Name and your Email Address. Click Continue.
  8. Enter:
    mail.uark.edu
    as the Incoming Mail Server.
    If you are using Exchange Mail
    Enter:
    exchange.uark.edu
    as the Incoming Mail Server.
    (If you do not have an Exchange Server mail account this will not work.)
  9. Ensure your UARK username is correct in the User Name field.
  10. Enter your UARK Password. Click Continue.
  11. On Campus enter mail.uark.edu as the Outgoing Mail Server.
    Off Campus or on a laptop computer that will be used off campus to send email, enter smtp.uark.edu as the Outgoing Mail Server.
  12. Ensure the Use Authentication box is checked and enter your UARK username and password. Click Continue.
  13. Verify the information entered is correct and click Continue. Click Done.
  14. You will return to the Accounts window.
    On Campus setup is complete.
    Off Campus or on a laptop computer that will be used off campus to send email:
    Under the Account Information tab, click the Server Settings button. Under Server port enter:
    2626
    Ensure the Use Secure Sockets Layer (SSL) option is selected.
    Ensure Password is selected as Authentication from the dropdown menu.
    Ensure your UARK username and password are entered. Click OK.

Accessing the UA Directory

Lightweight Directory Access Protocol provides a simple protocol that allows you to access and search email addresses on campus.

  1. Open the Address Book application.
  2. From the menu bar, select Address Book, then Preferences.
  3. Click the LDAP icon.
  4. Click + (Add).
  5. Enter:
    UA LDAP
    in the Name field.
  6. Enter:
    acme.uark.edu
    in the Server field.
  7. Enter the following information under Search Base:
    ou=People,o=uark.edu,o=UoA
  8. Click Save.

HTML or Rich Text

Not everyone has email software that is compatible with formatted text features available within Mail so they cannot see the intended benefits. Many times what is seen is garbled text or the actual HTML code behind the message. Plain text is recommended for universal compatibility.

  1. From the menu bar, select Mail, Preferences.
  2. Click the Composing icon.
  3. Select Plain Text under the Message Format dropdown menu.

Deleting Mail

To PERMANENTLY remove deleted email from the email server using the IMAP protocol:

  1. From the menu bar, select Mail, Preferences.
  2. Click the Accounts icon.
  3. Highlight your account and click the Mailbox Behaviors tab.
  4. Uncheck Store Deleted messages on the server.
  5. Choose a preference to Permanently erase deleted messages when under the dropdown menu:
    • One week old
    • One month old
    • One day old
    • Quitting Mail
    • Never
  6. Close the Mail Preferences Window and click Save to save the changes.

Account Maintenance

Go to mail.uark.edu and click the Account Summary and Options link to forward your email, set a vacation message, filter out unwanted email messages, and check your email quota.

Expanding Full Headers

Full headers are needed for error tracing and abuse reporting. If you have received abusive email and would like to report it, forward the email to abuse@uark.edu with the headers fully expanded.

To expand full headers in Mail:

  1. From the menu bar, select View, Message, Long Headers when viewing a message.
  2. To change all messages in your account, go to Mail, Preferences, Viewing.
  3. From the Show header detail dropdown menu select All.
  4. To send the full header, forward the message.

Importing an Address Book File to OS X Mail

  1. Open Macintosh OS X Address Book.
  2. Go into your Inbox and click Address Book.
  3. From the menu choose File, Import, and select a file format. Text File or vCards are the most common file types.
  4. In the Select file to import window, browse to locate your Exported Address Book file.
  5. Select the file to import and click Open. Click OK to accept.

Exporting an Address Book File from OS X Mail

The Macintosh OS X Address Book, which functions both as the address book for OS X Mail and as a stand-alone contacts application, does not have an export function. If you have contact information in your OS X Address Book that you wish to import into another mail program, it must first be exported from Address Book for use.

A third party program must be used to export the data contained in Address Book to a tab-separated value data file. UA AskIT recommends Address Book Exporter 2.1.2.

  1. Download Address Book Exporter 2.1.2.
  2. Launch the application.
  3. Select the Export using current field settings option.
  4. Click the Export Address Book button.
  5. The program will generate a file to your desktop called Exported Address Book.txt. This file can then be imported to another mail program.
