Outlook Email Client

Entering Your Account Information in Outlook 2007

  1. Open Outlook.
  2. From the menu bar select click Tools, Account Settings.
  3. Click the E-mail tab.
  4. Click New.
  5. Select the Microsoft Exchange, Pop3, IMAP, or HTTP option and click Next.
  6. Put a checkmark in Manually configure server settings or additional server types and click Next.
  7. Select the Internet Email option and click Next.
  8. Enter your name in the Your Name field.
  9. Enter your email address in the E-mail address field.
  10. Select IMAP for the account type.
  11. Enter:
    mail.uark.edu
    for the Incoming mail server
  12. If you are On Campus enter:
    mail.uark.edu
    for the Outgoing mail server (SMTP); click Next.
    If you are Off Campus, or on a laptop that will be used off campus to send email, enter:
    smtp.uark.edu
    for the Outgoing mail server (SMTP); click Next.
  13. Enter your UARK username in the User Name field.
  14. Fill in your password in the Password field.
  15. Leave the Require logon using Secure Password Authentication (SPA) box unchecked.
  16. Click the More Settings button.
  17. Click the Outgoing Server tab. Select the My outgoing server (SMTP) requires authentication option. Ensure Use same settings as my incoming mail server is selected.
  18. Click the Advanced tab.
  19. If you are On Campus select TLS in the dropdown menu next to the Use the following type of encrypted connection option for both the Outgoing server (SMTP) and Incoming server (IMAP) servers.
    If you are Off Campus, or on a laptop that will be used off campus to send email:
    Select TLS in the dropdown menu next to the Use the following type of encrypted connection option for both the Outgoing server (SMTP) and Incoming server (IMAP) servers.
    Change the port number under Outgoing server (SMTP): to 2626
  20. Click OK; then Next; then Finish.

Accessing the UA Directory

Lightweight Directory Access Protocol provides a simple protocol that allows you to access and search email addresses on campus.
  1. Open Outlook.
  2. From the menu bar, click Tools, Account Settings.
  3. Click the Address Books tab.
  4. Click New.
  5. Select Internet Directory Service (LDAP). Click Next.
  6. For the Server Name enter:
    acme.uark.edu
  7. Leave the This server requires me to log on box unchecked.
  8. Click More settings.
  9. Click OK to the message letting you know that you will need to restart Outlook after configuration for the account to become active.
  10. Click the Search tab.
  11. Click the radio button next to Custom
  12. Enter:
    ou=People,o=uark.edu,o=UoA
  13. Click OK; then Next; then Finish; then Close.

HTML or Rich Text

Not everyone has email software that is compatible with formatted text features available within Outlook, so they cannot see the intended benefits. Many times what is seen is garbled text or the actual HTML code behind the message. Plain text is recommended for universal compatibility.

  1. Open Outlook.
  2. From the menu bar, click Tools, Options.
  3. Select the Mail Format tab.
  4. Under Message format select Plain Text.
  5. Click OK.

Deleting Mail

To PERMANENTLY remove deleted email from the email server:

  1. Open Outlook.
  2. From each of the folders you wish to remove deleted messages, go to the menu bar select Edit, then Purge Deleted Messages.

Alternatively you may choose to purge items marked for deletion when you switch to another folder while online. The items marked for deletion in the original folder are permanently purged from the mail server. When switching folders offline the items will not be purged.

  1. Open Outlook.
  2. From the menu bar select Tools, Account Settings.
  3. Click the Email tab.
  4. Select the email account you wish to purge messages in when switching folders online and click Change.
  5. Click the More Settings button.
  6. Click the General tab.
  7. Select the box next to Purge items when switching folders while online.
  8. Click OK; then Next; then Finish; then Close.

Account Maintenance

Go to mail.uark.edu and click the Account Summary and Options link to forward your email, set a vacation message, filter out unwanted email messages, and check your email quota.

Expanding Full Headers

Full headers are needed for error tracing and abuse reporting. If you have received abusive email and would like to report it, forward the email to abuse@uark.edu with the headers fully expanded.

To expand full headers in Outlook:

  1. While viewing a message, click the down arrow in the Options group.
  2. The Message Options window is displayed.
  3. The expanded header is displayed in the Internet headers field.
  4. To send the full header, copy and paste the information in the Internet headers field into a new message.

Resetting Your Password

To reset your password online go to PASSweb.

If you save your password within Microsoft Outlook, after using PASSweb to change the password for your UARK account, you must update Microsoft Outlook with your new password.
  1. On the Tools menu, click email accounts.
  2. Select View or Change existing email accounts, and then click Next.
  3. Select the email account that you want to update with the new password, and then click Change.
  4. In the Password box, type your new password, and then click Next.
  5. Click Finish.

Outlook Calendar Import/Export

Import to Outlook Calendar

  1. Open Outlook.
  2. Select File, Import/Export from Outlook's menu.
  3. Select Import an iCalendar or vCalendar file (.vcs); click Next.
  4. Browse to and select the .ics file you wish to import.
  5. Click OK.

Export Outlook Calendar

  1. Open Outlook.
  2. Select File, Import/Export from Outlook's menu.
  3. Select Export to a file; click Next.
  4. Select the type of file to export (Comma Separated Values (Windows) is compatible with many programs); click Next.
  5. In the folder list presented, select the Calendar folder as the folder to export from; click Next.
  6. Click the Browse button to select an easily accessible location to save the exported file. Name the file and click OK; click Next.
  7. Under "The following actions will be performed:", the export information should be listed as Export "Appointments" from folder: Calendar with a check mark in the box next to it.
  8. Click Finish.
