How to invite Meetingmaker Users in Exchange
You can invite anyone with an email address to meetings. People who do not use the Exchange service will receive an email invitation. The difference you will notice is that you will not be able to determine if a Meeting Maker user is free or know if they accept the invitation.
How to invite Exchange Users in Meeting Maker
Off Campus Users - Must use the Meeting Maker Web Client
- Go to mmcal.uark.edu
- Click Create New Contact.
- Enter information for the contact, and make sure you enter their email address.
- Invite External Guests/Contacts:
- When you create a proposal, choose Contacts from the pull-down menu in the Proposal Edit List window.
- Click Send Proposal when finished inviting guests.
External guests/contacts receive their meeting invitation via email.
On Campus Users
- Set-up the SMTP in Meeting Maker.
- Select Edit/Preferences (Windows) or Meeting Maker Calendar/Preferences (Macintosh)
- Click the General tab
- For Local SMTP Host enter:
mail.uark.edu
- In E-Notify Address enter your email address (e.g. uarkusername@uark.edu)
- Click OK.
- Create External Guests:
- Select Contact List from the View Menu.
- Click New.
- Enter information for the contact, and make sure you enter their email address.
- Invite External Guests/Contacts:

How do I add an email meeting proposal into my Exchange calendar?

Outlook 2007 (Windows)
- In your Inbox, click on the email message and drag it onto the Calendar icon (bottom left of the window).
- When you let go, a new appointment will open with the email message in the notes area.
- Set the start and end dates/times of the meeting.

Entourage 2008 (Mac)
- In your Inbox, select the email message.
- Under the Tools menu select Link to New, Calendar Event.
- Create a new meeting and save it.
